Quick answer:
Any user can change their own notification email: click the profile icon in the top right, enter the address in Notifications email and click Update.
A Company Admin can also change it for any user in Preferences > Accounts > Actions > Edit. Once a notifications email is set, the user's login email stops receiving notifications.
How notification emails work
When your client completes a verification, APLYiD sends an email with a link to the result. Each user has two email fields:
Primary email: the email the user logs in with. If no notifications email is set, notifications go here.
Notifications email: optional. Use it to send notifications to a different address, such as a shared inbox (for example compliance@yourcompany.com). Once it's set, the primary email stops receiving notifications. The user still logs in with their primary email.
Each user also has a Receive notifications setting, which turns their notification emails on or off.
How to change your own notification email
Any user can do this, whatever their role.
Log in to APLYiD.
Click the profile icon in the top right, next to Log out. This opens your Account settings.
Enter the address in the Notifications email field.
Make sure Receive notifications is set to Yes.
Click Update.
How to change another user's notification email (Company Admin)
In the menu on the left, under Control System, click Preferences, then Accounts.
Find the user and click Actions next to their name, then Edit.
On the Account settings tab, enter the address in the Notifications email field. If it shows Notifications email is invalid, check the address is complete.
Make sure Receive notifications is set to Yes.
Click Update.
You'll see the message Account updated. Notifications for that user's verifications now go to the new address only.
How to turn notification emails off
Click the profile icon in the top right (or, as a Company Admin, go to Preferences > Accounts > Actions > Edit for another user), switch Receive notifications to No and click Update.
Completed verification emails are time-sensitive. Before turning them off, make sure someone else is notified, for example an AML Supervisor or a user they're assigned to.
Who gets notified?
Who receives a notification depends on their role:
Role | Gets notified when… |
Company Admin | Their own verifications are completed, and verifications from users assigned to them |
AML Supervisor | Every verification is completed, from every user |
Agent | Their own verifications are completed, and verifications from users assigned to them |
Initiator | Never. The user they're assigned to is notified instead |
To change who is notified about another user's verifications, a Company Admin can assign that user to them on the Subordinate accounts tab. See How to add a user (staff member) and choose their role.
Notification emails aren't arriving
Check Receive notifications is set to Yes.
Check which address notifications go to. If a Notifications email is set, they go there, not to the login email.
Check the spam or junk folder.
Ask your IT team whether emails from "@aplyid.com" are being blocked or quarantined.
If you send verifications through a CRM or other integration, notifications may be handled by that system rather than APLYiD. Check with your CRM provider.
If you still don't receive them, email support@aplyid.com with the user's name, their notification address and the reference of a verification that didn't send a notification.
You can always find completed verifications in APLYiD under Biometric > Completed, even if the email doesn't arrive.
Frequently Asked Questions
I'm getting notifications that should go to someone else. How do I stop them?
Click the profile icon, change the Notifications email to the right person's address, or switch Receive notifications to No. A Company Admin can also do this for you.
Can notifications go to more than one email address?
The Notifications email field takes one address. To notify several people, use a shared inbox or distribution list, or ask a Company Admin to assign the user to the other people who need to be notified.
Will changing the notifications email change how the user logs in?
No. The user keeps logging in with their Primary email.
Is the notification email the same as the email our invoices go to?
No. Invoices go to the billing contact. See How to change billing details.
