How do I download, print or share a verification report?

This guide is for APLYiD Core (support.aplyid.com).

Quick answer

Go to Biometric > Completed, open your client's check and click Download. The report saves to your device as a PDF.

The check is archived 1 hour after the first download (by anyone in your team), or 7 days after it's completed if no one downloads it. After that, the report is gone for good. Save the PDF in your own system straight away.

If the check is in Review, approve or reject it first. You can't download the report until you do.

How to download a verification report

  1. Log in to APLYiD and go to Biometric > Completed.

  2. Find your client's check by searching for the reference number or customer name.

  3. Click the check to open it.

  4. Click Download. The PDF report saves to your device, usually in your Downloads folder.

  5. Save the PDF in your client file, CRM or document management system.

From the notification email: when a check is complete, the person who sent it (or, for an Initiator, the user they're assigned to) gets a "Biometric Completed" email with a View in portal link. The PDF isn't attached to the email. Click the link, log in, then click Download. To change who gets these emails, see How do I change who gets notified when a verification is completed?

Download it once, then save it

The report is only available while the check is in APLYiD. Once the check is archived, your client's details and the report can't be recovered by you or APLYiD.

What happens

When the check is archived

Someone in your team downloads the report

1 hour after the first download

No one downloads it

7 days after your client completed it

Your integration or the API downloads it automatically

About 1 hour after completion. Look for the report in that system.

The check is waiting for your Review

7 days after completion, even if you haven't reviewed it

If a colleague downloaded it first, ask them for the PDF. In Biometric > Archived you can see who downloaded it and when. See Can I get back a check that's been archived?

Manual verification reports

Manual verification reports are downloaded the same way:

  1. Go to Manual > Completed.

  2. Find the check and click it to open it.

  3. Click Download.

The same archive rule applies. The check is archived 1 hour after the first download, or 7 days after it was completed if no one downloads it. Save the PDF straight away.

PEP and sanctions (AML) results

In a verification: the PEP, sanctions and adverse media check is part of the verification. Open the verification and go to the APLYiD/AML Check tab. Under Overview, PEP sanctions and adverse media clear shows a tick (no match) or a cross (possible match). There's no separate PEP report to download.

Standalone PEP check (a PEP check you ran on its own): go to PEP > Completed and download the report there. PEP reports can only be downloaded one at a time. There's no bulk download.

Reports from integrations and the API

  • Integrations (e.g. Rex, OneLaw, Salesforce, FormsByAir, Zapier): most integrations download the report automatically and save it in that system. This archives the check in APLYiD about an hour later, so look for the report in your other system first. If it's not there, contact that provider. See My integration isn't working (OneLaw, Rex, Zapier, FormsByAir and others).

  • API: the PDF link in the webhook needs your API key and secret, so opening it in a browser returns a 403 error. Download it with an authenticated request. See Downloading assets (pictures, video and PDF) in our API docs. Save the PDF as soon as you get it.

Why can't I download the report?

What you see

Why

What to do

"This verification needs to be reviewed before you download the report."

The check is in Review.

Click Review, add a note, then Approve verification or Reject verification. The Download button then appears. See My client's verification says "Review". What does that mean and what do I do?

The check is still in Biometric > Created

Your client hasn't finished the verification yet.

Wait until it moves to Completed. You'll get an email when it does.

The check shows Error, or you got a "Biometric Error" email

The check couldn't be completed, so there's no report.

Contact Support with the reference before asking your client to try again, so we can tell you what went wrong. See What do the verification statuses and results mean?

The check is in Biometric > Archived

Someone downloaded it more than an hour ago, your integration downloaded it, or it's more than 7 days since completion.

Check who downloaded it and ask them for the PDF, or look in your integration. If no one has it, send your client a new verification.

You can't find a colleague's check

You may not have the correct permissions to view or download that check.

Ask the person who sent it, or a Company Admin, to download it.

An error appears when you click Download, or the PDF won't open

Usually a browser problem, or occasionally a problem with that one report.

Use Google Chrome, clear your browser cache and try again. Check your browser isn't blocking downloads. Ask a colleague to try the same report. If it still fails, contact Support with the reference.

Printing a report

Open the PDF in any PDF viewer and print it as normal (Ctrl+P on Windows, Cmd+P on Mac).

Sharing a report

You can email the PDF or upload it to your document management system, and share it with colleagues or anyone with a compliance or legal reason to see it, such as your auditor, solicitor or lender.

You can also give your client a copy if they ask for one.

Privacy: the report contains your client's personal information and ID details. Only share it with people who need it, and store it in line with your privacy and AML obligations.

Frequently Asked Questions

Can I download the report more than once?

Yes, until the check is archived 1 hour after the first download. After that, use the copy you saved.

Can APLYiD Support send me a copy of the report?

No. Reports can only be downloaded from the APLYiD portal by someone in your team. Once the check is archived, the report can't be recovered by you or by APLYiD. If you can't access the check, ask the person who sent it or your Company Admin to download it.

Can I download several reports at once?

No. Each verification report is downloaded one at a time from the check. To get a list of all your checks, generate a usage report:

  1. Go to Preferences > Reports.

  2. Under History of Verifications, enter the From and To dates. Each report can cover up to 90 days.

  3. Click Generate a report.

The usage report lists your biometric checks, manual checks, PEP checks and credit checks. It's a list of checks, not the verification reports themselves. See How do I download a usage report of all our verifications?

Part of the ID image is on a second page. Is something missing?

No. A large ID image can push the rest of the content onto the next page. Nothing is removed from the report.

Can I see whether an archived check passed or failed?

No. Archived checks only show "Completed". The result is in the PDF report, so keep it as your record.
