My client says they've finished, but I can't see their verification. Where is it?

How to find a completed verification in APLYiD, and what to check if you can’t see it. This guide is for APLYiD Core (support.aplyid.com).

Quick answer

Completed verifications are in Biometric > Completed. If your client says they've finished but it isn't there, check in this order:

  1. Biometric > Created: they may not have finished every step.

  2. Biometric > Archived: someone may have downloaded the report already, or the link was resent.

  3. Your role: you may not be able to see checks sent by a colleague or an integration.

Still can't find it? Contact Support with the reference, your client's name and mobile number, and roughly when they finished.

How to find a completed verification

From the notification email: when your client finishes, the person who sent it (or, for an Initiator, the user they're assigned to) gets a "Biometric Completed" email. Click View in portal to go straight to the check.

In the portal:

  1. Log in to APLYiD. Use app.aplyid.com for New Zealand and Australia, or app.aplyid.co.uk for the UK.

  2. Go to Biometric > Completed.

  3. Search for your client by name or reference.

  4. Click the check to open it.

Manual verifications are in Manual > Completed.

Checks usually appear in Completed within a few minutes of your client finishing.

Where a verification can be

Where

What it means

Biometric > Created

Your client hasn't finished yet. The status shows Queued, Delivered or Started.

Biometric > Completed

Your client has finished. The result is Pass, Review, Fail or Error.

Biometric > Archived

The check has been archived. You can see the reference, your client's initials and who downloaded the report, but not the result or your client's details.

There's no "In Progress" tab. A verification your client has started but not finished is in Created with the status Started. See What do the verification statuses and results mean?

I can't find it. What should I check?

1. Is it still in Created?

If the status is Started, your client opened the link but didn't finish every step. Ask them to open the link again and complete it. If it's Queued or Delivered, they haven't started this link. They may have used an older link. See My client hasn't received their verification SMS or link.

2. Is it in Archived?

A completed check is archived 1 hour after the report is first downloaded, or 7 days after completion if no one downloads it. A check can also be archived early because:

  • a colleague downloaded the report. Archived shows who downloaded it and when, so ask them for the PDF.

  • your integration downloaded the report automatically

  • the link was resent. Resending archives the old link and creates a new one under the same reference.

Once a check is archived, the result and your client's details are deleted and can't be recovered. See Can I get back a check that's been archived?

3. Was it sent by someone else?

What you can see depends on your role:

Role

Whose completed verifications they can see

Company Admin

Everyone's

AML Supervisor

Everyone's

Agent

Their own, and those of users assigned to them

Initiator

None. Initiators can send verifications but can't see results.

If you need to see a colleague's verifications, ask your Company Admin to assign that colleague to you, or to change your role. See How to add a user (staff member) and choose their role.

4. Was it sent from an integration or the API?

Verifications sent from a CRM or integration (for example Rex or OneLaw) show Api Agent as the initiator. To see them in the portal, your Company Admin needs to assign the Api Agent user to you.

Most integrations download the report automatically, which archives the check in APLYiD about an hour later. Look for the report in your other system first, for example in the contact's compliance tab in Rex. See My integration isn't working (OneLaw, Rex, Zapier, FormsByAir and others).

5. Are you logged in to the right account?

New Zealand and Australian accounts use app.aplyid.com. UK accounts use app.aplyid.co.uk. If your business has more than one APLYiD account, check you're logged in to the one the verification was sent from.

6. Did the user who sent it delete it?

Deleting a user removes their completed and archived verifications. Suspending a user keeps them.

7. Still can't find it?

Contact Support before you resend the link. Resending archives the original, and if your client completes both, you'll be charged for both. Include:

  • the verification reference

  • your client's name and mobile number

  • roughly when your client finished

We can look it up and tell you where it is or who downloaded it.

Frequently Asked Questions

I got the "Biometric Completed" email but can't see the check.

Someone may have already downloaded the report, so it's in Archived. Or the check was sent by a colleague or an integration that your role can't see. Work through the checklist above.

My client did the verification twice. Which one counts?

Both are charged if both were completed. If you resent the link, the first one is archived. Contact Support if you think you've been charged twice by mistake.

Can I see a check that's been archived?

You can see that it existed, its reference, your client's initials and who downloaded the report. The result and your client's details are deleted.
