What do the verification statuses and results mean?

What each result status means and what to do next. This guide is for APLYiD Core (support.aplyid.com).

Quick answer

Before your client finishes, a verification sits in Biometric > Created with a status of Queued, Delivered or Started.

Once they finish, it moves to Biometric > Completed with a result:

  • Pass: no action needed, just download the report

  • Review: you need to approve or reject it

  • Fail: the face match failed

  • Error: something went wrong with the verification

Completed verifications are archived 7 days after completion, or 1 hour after the report is downloaded.

Status

What it means

What to do

Queued

We haven't had a response from your client's mobile carrier yet. This can happen if the number is wrong, or the client's country blocks system-generated SMS.

If it stays Queued, check the number, then copy the link and email it. See My client hasn't received their verification SMS or link.

Delivered

The SMS reached your client's phone.

Wait for your client to complete it, or remind them.

Started

Your client has opened the link and begun, but hasn't finished yet.

You aren't charged while a verification is in Created. The link expires 7 days after it's sent. To send it again, see How do I resend a verification link to my client?

After your client finishes: Biometric > Completed

Pass

All checks passed.

It went to Review and someone in your team approved it.

Download and save the report.

Review

image-20261013-223838.png

One or more checks didn’t pass automatically, e.g. liveness, the ID, the data check or a VPN. It isn’t a fail.

Check the result, then approve or reject it. You can't download the report until you do. See My client's verification says "Review". What does that mean and what do I do?

Fail

image-20261013-223918.png

The face match failed, or someone in your team rejected it after a Review.

Download the report for your records. See Why did my client's verification fail?

Error

Something stopped the verification from completing properly.

Contact us with the verification reference.

Pass, Review and Fail results are charged. Errors aren't. See When am I charged for a check?

Why a verification fails

A verification only fails when the face match fails: your client's face didn't match the photo on their ID. A face match fail can't be overridden.

Everything else goes to Review, not Fail, so you can check it and decide. That includes:

  • Liveness: the system couldn't confirm a live person completed the selfie video. Watch the video and decide.

  • The ID: the photo of the ID had glare on it or wasn't scanned properly (e.g. the edges were cut off), or the ID was expired or isn't an accepted ID.

  • Tampering, data check or VPN (Device/Location) flags.

A Fail doesn't always mean the person isn't who they say they are. It can mean the photo or video wasn't good enough. You can send a new verification, which is charged when completed.

What's on the result screen

Open a verification in Biometric > Completed to see the Overview tab.

Result Overview: a tick or cross for each check (Data extraction, Biometrics, Tampering checks, Device/Location and APLYiD/AML), and the overall result. For more detail on a check, open its tab at the top: Biometrics, Tampering Checks, Location or APLYiD/AML Check.

Scanned Documents:

The photos of your client's ID taken during the verification.

Report:

Download the PDF report here. If the verification is in Review, there's a Review button instead of Download until it's been reviewed.

Notes:

After a Review, the note explaining why it was approved or rejected, and Reviewed by with the reviewer's name. Notes are added to the report for audit purposes.

Provided Data:

The details you entered when sending the verification, for your reference. The verification checks the details read from the ID, not these.

Extracted Data:

The details read from your client's ID. If something was read wrongly, click Edit, correct it and click Submit. This re-runs the data check and is charged as a re-run.

Video:

Your client's selfie video from the verification.

Archived: Biometric > Archived

Completed verifications are archived 7 days after completion, or 1 hour after the report is downloaded, whichever comes first. This also applies to verifications still waiting for Review. See What data does APLYiD keep from a verification, and when is it deleted?

Once archived, your client’s details and the result can’t be seen or recovered. In Archived you can still see the reference, your client’s initials and who downloaded the report. See Can I get back a check that's been archived?
