Quick answer
You're charged for every completed check that returns a result: Pass, Review or Fail. That includes repeat checks for the same client.
You're not charged if your client doesn't complete the verification, or for resending the link before they complete it.
Editing Extracted Data and resubmitting is a re-run, which is charged.
What's charged and what isn't
What happened | Charged? |
Link sent, but your client didn't open it or didn't finish | No |
Link expired before your client completed it | No |
You resent the link before your client completed it | No |
You deleted a check your client hadn't completed | No |
Your client completed the check: result is Pass, Review or Fail | Yes |
Result is Error | No |
A repeat check for the same client (e.g. you sent a new one, or deleted a check and created a new one) | Yes, each completed check is charged |
You edited Extracted Data and resubmitted (a re-run) | Yes, a re-run is charged |
A manual verification | Yes |
A standalone PEP check | Yes |
Verifying the same client again later | Yes. Previous verifications can't be reused. |
Foreign IDs are charged the same
A verification is charged the same whatever ID your client uses. If your client uses a foreign ID and their details can't be checked against data sources, the verification is still charged as normal. See Can I verify a client who is overseas or has a foreign ID?
How to avoid unnecessary charges
Check your client's name and mobile number before you send. If you spot a mistake before they complete it, delete the check and send a new one. See How do I delete or cancel a verification my client hasn't completed?
If your client lost the link or it expired, resend it rather than creating a new check. See How do I resend a verification link to my client?
Download the report as soon as the check is complete. If it's archived before you save it, you'll need a new (charged) check. See Can I get back a check that's been archived?
Only edit Extracted Data when you need to. Each resubmission is a charged re-run.
Check your charges against your invoice
You can use a usage report to check how many verifications were completed in a given period, then compare that with your invoice.
Go to Preferences > Reports.
Choose the start and end dates for the period your invoice covers (up to 90 days at a time), then download the report.
On the Overview tab, look at the number of Completed checks for each check type. Only completed checks are charged.
Re-runs are listed on the Rerun tab.
Compare these numbers with the number of checks on your invoice for the same period.
If the numbers don't match, contact us with your invoice number and the period you checked.
Think you've been charged by mistake?
Contact us through live chat or support@aplyid.com with:
your invoice number
the references of the checks you're querying
what you think is wrong (e.g. a duplicate check)
We'll check with our accounts team. If you were charged incorrectly, we'll issue a credit note.
Frequently Asked Questions
My client didn't finish. Will I be charged?
No. You're only charged when a check is completed.
The check went to Review or failed. Am I still charged?
Yes. The check was completed and returned a result.
What is a "re-run" on my invoice?
A re-run is when someone edited the Extracted Data on a completed check and resubmitted it. The data check runs again with the corrected details and is charged.
I see the same manual check twice. Was I charged twice?
Not necessarily. If you edited and resubmitted it, the extra entry is a re-run. If you didn't, contact us with the references and we'll check.
Can I run a PEP check on its own?
Yes. Standalone PEP checks are available from the PEP menu and are charged per check. You'll need your client's full name and date of birth.
I use Workflow. Does this apply to me?
No. Workflow is billed differently. See the Workflow help centre.
